FACILITY RENTAL AGREEMENT

Sheridan Estate (hereinafter “Sheridan”) agrees to provide the use of its facilities which are limited to the lower level porch of the main house, front lawn and garden area, deck area, caterer deck and designated parking area for a special event to be held from _________a.m./p.m. to _________a.m./p.m. on _______________________.  In consideration of the above, the undersigned Event Holder (hereinafter “Renter”)  agrees to all of the following terms and conditions.

 

Sheridan is not required or otherwise bound to provide any other facilities or services beyond those outlined in this agreement.  Renter agrees to pay for any additional facilities or services requested, provided or used.

Sheridan will provide a site manager to be present during the day of the wedding.  One organizational meeting with Renter and site manager shall be scheduled and conducted at least one month prior to the event date at which time Renter will provide a list of vendors, their schedules and responsibilities and contact phone numbers.  All dinnerware, tables, chairs, linens, food, food services, bartenders, music, flowers, etc. will be supplied by Renter unless separately contracted in writing with Sheridan.  Sheridan is not responsible for the performance of any of the service vendors contracted by Renter or Sheridan.  All amplified music must be kept at a reasonable volume and Sheridan expressly reserves the right to regulate music volume.  All decorations, table placement, flower setup, table setup, etc. must be approved by Sheridan.  No confetti, bird seed or rice is allowed.  Renter is required to provide portable toilets to be setup at location designated by Sheridan.  No decoration or other item shall be so placed or secured as to cause any permanent damage to any structure, tree, or other permanent part of Sheridan Estate. Renter is responsible for removal of all trash and garbage generated or resulting from the event immediately following the event.  All garbage and/or trash left on day of event will be cleaned and/or removed by Sheridan at a minimum charge to Renter of $125.00. 

 

A deposit of $_____ is required at the time the facility is booked.  This will be held as a damage deposit to be refunded within fifteen (15) days following the event if no damage is discovered or other charges incurred.  Sheridan reserves the right to bill Renter for additional damages in excess of the $_____ deposit which shall be due immediately upon receipt.  This deposit is not refundable at any time within ten (10 ) months of  the event.  The total rental fee is non refundable and is payable in full thirty (30) days prior to the event.  In the event the total rental fee is not received within this time, Sheridan has the right to cancel this agreement.

 

Renter is responsible for arranging set up the morning of the event and clean up immediately following the event. There shall be no set up allowed prior to the day of the event.  Set up includes, without limitation, tables, chairs, flowers, decorations, etc.  Clean up includes picking up all trash, garbage or any other items left or generated by the event, breaking down rental tables, chairs and/or tents, removing all decorations, etc.  Any of these services performed by Sheridan will be deducted from the damage deposit and billed to Renter in the event the deposit is insufficient.  Rental item pick up may be scheduled for the next morning following an evening event at the discretion of the site manager and made in writing at the site manager meeting.

 

A certificate of insurance shall be provided to Sheridan with a limit of one million dollars ($1,000,000.00) naming Sheridan Estate as an additionally insured for the day of the event and said certificate must be provided to Sheridan at least thirty (30) days prior to the event.  If liquor is provided by a caterer, the caterer shall provide prior to the event proof of liquor liability insurance and carry a liquor license.  If Renter provides liquor, the insurance binder must cover liquor liability.  A bartender must be engaged for the duration of the event who is over the age of twenty-one (21) and not a part of the wedding party or guest list and is subject to the approval of Sheridan.

 

No wedding party members, guests, vendors or other individuals are allowed in the house, barn or other buildings on the property nor allowed to approach any animal on the property, especially, but not limited to, horses.  All music and ceremony functions must be concluded by 9:00 p.m. and all guests and event members off the property no later than 10:00 p.m.  In the event Renter breaches or fails to abide by or fulfill any of the terms of this agreement, Sheridan has the right to terminate this agreement without reimbursement of any fees prepaid, including site fee.  This right to terminate includes any time through the event.  In the event of termination during the event , Renter, or any of its guests, members or venders, must leave the property immediately and Renter will be charged for all cleanup fees incurred by Sheridan.
